Invoices and payment

Where invoices appear, how to pay, and who in your organization receives them.

What you will do: find an invoice, pay it, and make sure the right people receive future ones.

Invoices for subscriptions bought from XPLG appear on the Invoices page in your workspace. Subscriptions bought through a cloud marketplace are invoiced by that marketplace and appear on your cloud bill, not in dock.

Who can see invoices

Members with the billing role, plus owners and admins. Give finance colleagues the billing role from Team so they can see invoices without access to deployments; see Users and roles under Administration once you sign in.

Steps: pay an invoice

  1. Open Invoices. Each row shows the invoice number, date, amount, due date and status.
  2. Open the invoice to download the PDF.
  3. Pay by the method agreed in your subscription:
Payment methods: <placeholder>
Payment terms: <placeholder>
  1. The status changes to paid once the payment is reconciled.

Billing contacts

Set the billing email addresses under Settings; every new invoice and payment reminder is sent there as well as shown on Invoices. Add a shared finance mailbox so a change of staff does not lose invoices.

Payment schedule

A subscription term can be paid annually or upfront for the whole term. The schedule is agreed when the subscription is created and is shown on Subscription. See Renewals and multi-year terms.

Purchase orders and tax details

Add your purchase order number and tax identifiers under Settings before the first invoice so they appear on it. For changes to an issued invoice, open a ticket from Tickets.

Overdue invoices

Reminders are sent to the billing contacts. If an invoice stays unpaid, XPLG contacts the account owner before any change to licenses.
